Job Description

We are seeking excellent candidates for the role of Payroll and HR Coordinator.

Purpose: The primary purpose of the Payroll and HR Coordinator is the overall operation of the payroll processes and functions related to the successful completion of the Bi-weekly payroll. The Coordinator also performs a variety of HR functions including employee benefits, onboarding and providing assistance to the HR Director.

Duties/Responsibilities:
Payroll/HRIS Systems

1. Process bi-weekly payroll, maintain internal payroll records and monitor and reconcile deductions
2. Ensure correct payroll processing of exempt, non-exempt and hourly employees
3. Generate required payroll reports and submit them to the Controller.
4. Serve as a backup to reconcile and transmit retirement contributions each pay period.
5. Reconcile and transmit FSA,Transit and HSA contributions.

Benefits
Tracking of Benefit related deductions to support accounting records and reconciliations and ensure that employee enrollments, deductions and payments to vendors are correct and timely, along with ongoing employee support.

Benefits Support for Employees
1. Facilitate awareness and activation of benefit options for employees.
2. Cognizant of Benefit opportunities and be able to assist with Commuter, Flexible Spending Accounts and variabilities in election.
3. Be a liaison between the employee and benefit providers or address questions that may arise.
Benefits Records
1. Preparation and reconciliation of monthly invoices and allocation reports for payment by the Business office.
2. Create annual census reports for broker and quarterly reports for SFHCO.

New Hire Processing Support
Process new hires using the on-boarding system.
Create files for all new hires ensuring the collection of all necessary documents to meet conditions of employment.
Assist with the preparation for new employee orientation by preparing New Hire Folders and other duties as assigned by the HR Director.
Assist HR Director with annual open enrollment, material and data preparation as per insurance policies, in Paycom
Assist in the annual distribution of Employment agreement and Employee Handbook.
Assist with employee State Disability and Paid Family Leave claims, long-term disability, worker's compensation claims.
Complete verifications of employment.
Maintain employee personnel files.
Assist with volunteer requirements.
ASP and Summer Program Employees’ Paycom Training.
Manage room reservations for HR Events and meetings.
Serve as a backup for the receptionist as needed.
Morning /Afternoon Traffic duty.
Other duties as assigned by the President and CFO.


Must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required.
Requires B.A./B.S. degree with 2 years experience in payroll processing.
Excellent written and oral communication skills as well as a proficiency in applicable technology (i.e. Google Sheets & Documents, Microsoft applications, school databases, etc.), and dynamic interpersonal skills.
Experience working in Human Resources preferred.
Excellent writing, communication and grammar skills.
Ability to appropriately manage highly confidential information.**
Accuracy and attention to detail.
MS Office proficiency.
Payroll software: Paycom
Payroll tax knowledge.
Mathematical aptitude.
Must be detail-oriented, organized and willing to take initiative.Must have excellent teamwork skills.
Must be a role model in embracing and living out the Schools’ mission, goals and criteria.
Experience with independent schools is preferred.

This is a full time position working onsite in person.

Physical Requirements:
Regularly lifting or carrying 1-20 lbs. Regular pushing/pulling/bending/stooping/kneeling
Regularly climbing stairs**
Regularly sitting or standing 4-8 hours
Requires the ability to tolerate and work in a loud and active environment
Requires physical presence, work to be performed on campus**
Ability to travel 1-2 times per year.
Ability to work some evenings and weekends.
